Mental Health Foundation of New Zealand

A limited budget didn’t stop the Mental Health Foundation of New Zealand getting the system they wanted for their specialist library collection. It was smooth sailing from there. Information Resource Specialist Kim Higginson shares their story.

Where there’s a will there’s a way

The Mental Health Foundation of New Zealand is a charity that works towards creating a society free from discrimination, where all people enjoy positive mental health & wellbeing. They provide free information, training, and advocate for policies and services that support people with experience of mental illness, and also their families/whānau and friends. The Foundation’s Information Resource Specialist Kim Higginson says, “Information plays an important role in their work.”

The Foundation has a physical library to support staff research and projects, and they use their library interloan service to lend to professionals and others. Their collection is primarily focused on best practice in the areas of mental wellbeing, inclusion, diversity and mental health promotion.

The other side to the Foundation’s work is providing a free public information service on all aspects of mental health. They act as navigators, pointing people to, or finding them resources or support. They also produce and publish resources that include a popular current awareness bulletin.

Kim says, “The Foundation has had three library management systems in the sixteen years I’ve been here – Inmagic, Liberty and now Accessit.”

Several factors motivated their recent move to Accessit. The Liberty software they had been using was out of date and it couldn’t be renewed with the budget they had available. As a result, their catalogue was removed from their website. With an internal server on its last legs, they also wanted to move to a cloud hosted option if they could.

“I asked on the NZ-Libs for advice on affordable options and several specialist libraries suggested Accessit, as an affordable system with great customer support. Budget constraints were still an issue for us, but we were so impressed by Accessit that we applied for a grant to enable us to go ahead,” says Kim.

Affordable, easy to use and modern

Kim says they wanted three things, “It had to be affordable, easy to use and it had to look modern.”

They could see the potential for the catalogue to become an information portal, housing their web-based information as well as the physical books in the library collection. “The ability to catalogue not just books, but a whole range of things, was a big draw card.”

They liked that it was intuitive and easy to search. Accessit’s special search features – Visual Search and One Search – really stood out as smart and innovative search tools.

The home dashboard (Web Opac) was also a real highlight. “We could see how we could easily customise and regularly update it, make it welcoming and chatty, and how we could also introduce some user education and support around evaluating information and resources. We loved the Accessit App, where users could view reviews and popular books, and manage their accounts.

“The affordable cost and great customer support sealed the deal,” says Kim.

No such thing as a stupid question

Switching to a new IT system is often a scary proposition. But the Mental Health Foundation found the whole process smooth sailing. “The Accessit staff were so helpful and patient,” says Kim. “We never felt pressured or in any rush to get everything perfect, and after the initial training we knew the support team were there to support us and always happy to help with anything that we needed. Their ‘no question is a stupid question’ approach really helped reduce the stress levels during the transition to Accessit.”

    When you exist to simply but emphatically make it easy for teachers to teach, you need a system that will fulfil that promise in every way. Accessit Library was that system.     Making it easy for teachers to teach

    Leicestershire County Council had a goal to fulfil their customer service promise of making it easy for teachers to teach. Their Manager of Creative Learning Services, Brian Kennedy says Accessit Library made this possible in every way. Since choosing Accessit six years ago, they haven’t looked back, going from strength to strength in every way.

    Creative Learning Services is a specialist school library service located at the Leicestershire County Council in the United Kingdom. The service uses Accessit to manage the learning resources and professional development needs of 160 schools across Leicestershire City and Leicestershire County, by providing an extensive range of school library services and curriculum solutions for teachers.

    The changing library environment

    In recent years, the traditional model in England of local authorities funding and managing schools in their area has undergone a transformation. Today many schools are independent academies funded directly through central government. These new academies have greater freedom to set their own policies, follow their own curricula and manage their own budgets.

    At the same time, in many instances, funding for school libraries has come under increased pressures, especially when set against other school priorities. In response, some schools are choosing to no longer employ a librarian or choosing to reduce their investment in book stocks.

    Brian Kennedy says, “We have adapted to this changing environment by maintaining close relationships with the new academies alongside our traditional base of local authority schools. And in both cases we have responded to the individual needs of our customer schools. Part of the continuing success of Creative Learning Services has been to recognize the very real challenges that schools and teachers face and to develop innovative service solutions focused on great customer care and value for money.”

    Creative Learning Services provides three distinct services to primary, secondary and specialist schools.

    1) Loan services (resources that include books, original artworks and artefacts).

    2) In-classroom services (delivery of a range of workshop sessions tailored to the needs of a school and the ability level of its students).

    3) Professional services (professional development, advice, librarian support etc.). These services are offered as bundled packages that enable schools to buy what best fits their particular requirements and budget, thereby avoiding paying for services they don’t need.

    At their core, Creative Learning Services wants ‘to make it easy for teachers to teach’ by enabling them to quickly and easily obtain the curriculum-based materials they need for their students.

    The service delivery challenge

    Six years ago, Creative Learning Services were faced with a challenge. How to deliver a service for teachers from around 160 individual schools to easily, quickly and efficiently get the things they needed for their school?

    “Up until that point, we relied heavily on a centrally based showroom that teachers visited to select their books and projects. This required the showroom to be stocked and staffed to manage those visits from schools. For the staff, this meant a lot of time spent advising and assisting customers in their choices and issuing and returning books within the narrow time slot within which teachers could visit – usually after school had finished for the day. In terms of the visiting teachers and school librarians, the customer experience was time consuming and laborious,” says Brian.

    Creative Learning Services’ vision was to transform the service. They wanted teachers to have the flexibility to choose and book their resources online remotely without having to leave the classroom.

    Accessit helped us fulfil the promise

    After an extensive search, Accessit Library was identified as one of a very small group of software systems that could meet their requirements. Accessit was chosen over more traditional library management systems on the basis of best fit against requirements. Specifically, the strength of the software to deal with schools combined with its flexibility were key elements in choosing Accessit.

    Today, the service strongly delivers on its promise of making it easy for teachers to teach.

    Accessit Library provides teachers with a user interface that is very easy to use and a positive customer experience. Brian says, “We very rarely get any difficulties from our customers, who on the whole find Accessit very easy to use.”

    A strong partnership

    Over the six years Creative Learning Services have been with Accessit, they have come to appreciate the partnership and support that has been provided.

    “As with any new software contract, we were keen to ensure we received prompt, high-quality technical assistance and advice. This is where the relationship with Accessit has proved very strong. The software itself was only part of the solution we were seeking. Even more important to us was how well the Accessit team responded to our problems and queries. Essentially what we needed was a company we could trust to help us deliver our promise to our customers, and we got that with Accessit,” says Brian.

    Creative Learning Services is one of the few school library services increasing its income significantly from year to year. They attribute this to good business decisions made regarding their operating model, coupled with their strong service delivery made possible with Accessit Library.

    Overall, Creative Learning Services at the Leicestershire County Council have been very satisfied with the value and support they’ve received from Accessit. Brian says, “Accessit Library has served us incredibly well over the past six years and helped us expand both our services and our customer base.”

      The proof is in the numbers

      Cambridge High School Assistant Head of English, Amy Featonby, believes that Accessit has had a very real and positive effect on her teaching and her students’ results. Her students achieved 83% excellence in one standard against a national average of 28%.

      Cambridge High School is a co-educational state secondary school located 15 minutes by car from Hamilton, New Zealand’s fourth-largest city. Established in 1883, the school combines modern facilities and a progressive education programme, with traditional core values and high expectations for student achievement. Cambridge High School has been using Accessit Library since 2015. And Assistant Head of English, Amy Featonby, says the library management system has really had a big impact on the results her students have achieved. Amy has found Accessit to be a great classroom and teaching resource.

      “We used Accessit to support the level 3 literature resource standard. The standard requires students to find and use reliable and appropriate sources to develop a hypothesis, much like a first-year university paper. My class received 83% excellence (with the remainder of students attaining merit). The national average for excellence in that standard is just 28.4%. When I asked the students how we aced it, they replied with two things – our focus and learning in class and One Search.”

      The Accessit One Search feature

      Amy identified that getting students set up and using Accessit is easy. They quickly learn where to go and what to do. Accessit’s One Search tool also enables students to quickly and reliably access academic articles and information on a topic using search terms with just a few simple clicks. One Search puts an end to long, laborious searching for hours.

      “Accessit is a safe ‘go-to’ place where students can get reliable, relevant resources. I can trust that my students who use Accessit’s One Search to support their learning are accessing quality materials that will help them achieve the outcomes and results they’re aiming for,” says Amy.

      Students liked using One Search because they had confidence that what they found would be useful and reliable, Amy believes. “In this increasingly digital age, information is more ubiquitous. Students can access information any time from anywhere. What’s available to them is also now of a much higher standard yet students need to be able to evaluate the material for reliability and relevance.

        Finding Accessit

        Four years ago Saint Kentigern was looking for a single library management solution they could use across all of their schools, located on three campuses in Auckland, New Zealand.

        At the time, they were using the Oliver library management system. Anita Vandenberghe, the Information Specialist of Saint Kentigern College, was part of a three-strong assessment team who visited four schools – two using the most recent Oliver upgrade and two using Accessit.

        “Oliver were promoting a more intuitive system with their update, but we’d heard very good reports about Accessit, so we thought we’d look at both systems. Pretty quickly we saw Accessit was the way to go.”

        “We liked the clean front end of the Accessit dashboard. It’s easy on the eye and easy for the students to use. The librarians told us they also have a very good back end with good support, and they hold a New Zealand roadshow annually – so you can go and ask questions and be supported in a way that we’d really missed with Oliver,” says Anita.

        One system to please them all

        Between them the four schools cater for more than 2650 students, from pre-schoolers through to eighteen year olds – as well as their parents, generalist and specialist teachers, and unique departments. Accessit’s ability to service this diverse range of users appealed to the Saint Kentigern assessment team. They wanted a library system responsive to all their users’ catalogue needs, including a great digital platform. The team knew there was an insatiable desire for all things digital and accessible 24/7 via Android, iPhone, desktop or laptop.

        “Our customers can access our new catalogue from their car, library, home…wherever they have access to the Internet they have access to us. One click takes a user to the record and one click actions something.”

        “Accessit makes it very easy to be organised and see where you are. Actual items – which include magazines, DVDs, ebooks, e-audiobooks and technology items like cameras or iPads – can be in different physical locations. We’ve secured all our items and connected them to the catalogue.”

        “I would say to anyone, ‘go to a forward-thinking school and ask their Librarians or Information Specialists, who are working with Accessit, about the system and make yourself familiar with it’. I’d also say, ‘visit the Accessit roadshow’. Colleagues come with questions you didn’t even know you wanted to ask,” says Anita.

          In 2004 Culford School Librarian Lesley Martin went looking for something to replace their ageing and poorly supported library management system. What she found was Accessit and she’s never looked back.

          From woeful to wonderful

          Culford School in Bury St Edmunds, Suffolk, England is set in 480 acres of beautiful parkland, with an 18th Century mansion at its centre and three separate schools – the Pre-prep and Nursery (ages 3 to 7), the Prep School (ages 7-13) and the Senior School (ages 13-18). In 2015 Culford was proud to open its new £2.2 million landmark library building. Lesley Martin is the Culford School Librarian and Head of Careers. Back in 2004, the school was facing ongoing issues with their existing library management system and were concerned enough to start looking at potential alternatives. Lesley talked to other school librarians and visited libraries to see different systems in action. But it was a trip to the Library and Information Show that first put Accessit on Lesley’s radar. At the trade show, Lesley was impressed with the Accessit demonstration. And when she spoke to other librarians using it, they all seemed to be overwhelmingly positive.

          “I liked that the interface was more adult than other school library management systems,” says Lesley. For Lesley, Accessit had the functionality she needed, and was intuitive, flexible and easy to use. Many of the other systems at that time were being offered on a modular basis, but Accessit was all-inclusive and very competitively priced. “Moving from our old system was easy too. Accessit handled the transfer of the entire catalogue and management records without any problems,” recalls Lesley.

          So many things to like

          Lesley says, “There are so many things I like about Accessit. It’s easy for students and teachers to use and the dashboard is a fantastic gateway to e-resources and websites to support research. It’s a great window for promoting book and printed resources too. Being able to give our students year-round, off-site access to our library resources is wonderful.”

          For Lesley, being able to design and update the home dashboard herself makes it super easy to promote particular resources, ensure students have the information they need, and keep it interesting and fresh.

          “On the management side, I can run a range of reports for senior management and monitor my own statistics. I can add virtually anything to the library catalogue. And when we installed RFID security and self-issue, it was straightforward to update Accessit to integrate seamlessly. Automatic overdues have saved me hours of work, and our teachers appreciate the regular notifications of new additions in their subject area,” says Lesley.

          No looking back

          Culford School and Accessit have had a long and successful partnership. It’s been over ten years now since Culford chose Accessit for their library. For Lesley “it was a great decision”.

          “A lot has changed over that time. It used to be that the library was the one place to go for information, and that’s no longer the case. Students want to access the library with their digital devices and now we’re facing the issues of ‘fake news’ and unreliable sources of information, as use of Google and social media rise. That’s where Accessit’s One Search function is so powerful – in that it outperforms Google in this regard. We’re teaching our students to use Accessit as their search engine and be more discriminating about the information they find on the web. Giving students the skills to undertake high quality, independent research is something that’s important at Culford.”

          “Accessit has kept pace with changes and supported us every step of the way. The system is continually being improved and updated, with small tweaks and improvements happening automatically and major updates at least every few years. We feel so well supported. The Accessit team has been responsive to any suggestions we have had, and the help desk are always quick to get back to me.”

          Lesley would definitely recommend Accessit to any school looking for a new library management system. She says, “I hear a lot of other school librarians complaining about their library system and the service they receive. I’m pleased that we have Accessit, and that I no longer have these issues to deal with.”
