Finding Accessit

Four years ago Saint Kentigern was looking for a single library management solution they could use across all of their schools, located on three campuses in Auckland, New Zealand.

At the time, they were using the Oliver library management system. Anita Vandenberghe, the Information Specialist of Saint Kentigern College, was part of a three-strong assessment team who visited four schools – two using the most recent Oliver upgrade and two using Accessit.

“Oliver were promoting a more intuitive system with their update, but we’d heard very good reports about Accessit, so we thought we’d look at both systems. Pretty quickly we saw Accessit was the way to go.”

“We liked the clean front end of the Accessit dashboard. It’s easy on the eye and easy for the students to use. The librarians told us they also have a very good back end with good support, and they hold a New Zealand roadshow annually – so you can go and ask questions and be supported in a way that we’d really missed with Oliver,” says Anita.

One system to please them all

Between them the four schools cater for more than 2650 students, from pre-schoolers through to eighteen year olds – as well as their parents, generalist and specialist teachers, and unique departments. Accessit’s ability to service this diverse range of users appealed to the Saint Kentigern assessment team. They wanted a library system responsive to all their users’ catalogue needs, including a great digital platform. The team knew there was an insatiable desire for all things digital and accessible 24/7 via Android, iPhone, desktop or laptop.

“Our customers can access our new catalogue from their car, library, home…wherever they have access to the Internet they have access to us. One click takes a user to the record and one click actions something.”

“Accessit makes it very easy to be organised and see where you are. Actual items – which include magazines, DVDs, ebooks, e-audiobooks and technology items like cameras or iPads – can be in different physical locations. We’ve secured all our items and connected them to the catalogue.”

“I would say to anyone, ‘go to a forward-thinking school and ask their Librarians or Information Specialists, who are working with Accessit, about the system and make yourself familiar with it’. I’d also say, ‘visit the Accessit roadshow’. Colleagues come with questions you didn’t even know you wanted to ask,” says Anita.

In 2004 Culford School Librarian Lesley Martin went looking for something to replace their ageing and poorly supported library management system. What she found was Accessit and she’s never looked back.

There are so many things I like about Accessit. It’s easy for students and teachers to use and the dashboard is a fantastic gateway to e-resources and websites to support research. It’s a great window for promoting book and printed resources too. Being able to give our students year-round, off-site access to our library resources is wonderful.

From woeful to wonderful

Culford School in Bury St Edmunds, Suffolk, England is set in 480 acres of beautiful parkland, with an 18th Century mansion at its centre and three separate schools – the Pre-prep and Nursery (ages 3 to 7), the Prep School (ages 7-13) and the Senior School (ages 13-18). In 2015 Culford was proud to open its new £2.2 million landmark library building. Lesley Martin is the Culford School Librarian and Head of Careers. Back in 2004, the school was facing ongoing issues with their existing library management system and were concerned enough to start looking at potential alternatives. Lesley talked to other school librarians and visited libraries to see different systems in action. But it was a trip to the Library and Information Show that first put Accessit on Lesley’s radar. At the trade show, Lesley was impressed with the Accessit demonstration. And when she spoke to other librarians using it, they all seemed to be overwhelmingly positive.

“I liked that the interface was more adult than other school library management systems,” says Lesley. For Lesley, Accessit had the functionality she needed, and was intuitive, flexible and easy to use. Many of the other systems at that time were being offered on a modular basis, but Accessit was all-inclusive and very competitively priced. “Moving from our old system was easy too. Accessit handled the transfer of the entire catalogue and management records without any problems,” recalls Lesley.

So many things to like

Lesley says, “There are so many things I like about Accessit. It’s easy for students and teachers to use and the dashboard is a fantastic gateway to e-resources and websites to support research. It’s a great window for promoting book and printed resources too. Being able to give our students year-round, off-site access to our library resources is wonderful.”

For Lesley, being able to design and update the home dashboard herself makes it super easy to promote particular resources, ensure students have the information they need, and keep it interesting and fresh.

“On the management side, I can run a range of reports for senior management and monitor my own statistics. I can add virtually anything to the library catalogue. And when we installed RFID security and self-issue, it was straightforward to update Accessit to integrate seamlessly. Automatic overdues have saved me hours of work, and our teachers appreciate the regular notifications of new additions in their subject area,” says Lesley.

No looking back

Culford School and Accessit have had a long and successful partnership. It’s been over ten years now since Culford chose Accessit for their library. For Lesley “it was a great decision”.

“A lot has changed over that time. It used to be that the library was the one place to go for information, and that’s no longer the case. Students want to access the library with their digital devices and now we’re facing the issues of ‘fake news’ and unreliable sources of information, as use of Google and social media rise. That’s where Accessit’s One Search function is so powerful – in that it outperforms Google in this regard. We’re teaching our students to use Accessit as their search engine and be more discriminating about the information they find on the web. Giving students the skills to undertake high quality, independent research is something that’s important at Culford.”

“Accessit has kept pace with changes and supported us every step of the way. The system is continually being improved and updated, with small tweaks and improvements happening automatically and major updates at least every few years. We feel so well supported. The Accessit team has been responsive to any suggestions we have had, and the help desk are always quick to get back to me.”

Lesley would definitely recommend Accessit to any school looking for a new library management system. She says, “I hear a lot of other school librarians complaining about their library system and the service they receive. I’m pleased that we have Accessit, and that I no longer have these issues to deal with.”

Lost data, system crashes and library shutdowns. It was time to look around for something better. Librarian Kris Parlane’s advice is, “Don’t wait or let fear hold you back.” Moving to Accessit was a good decision and surprisingly easy.

When you know what you want

With a fast-expanding school roll, Greenhithe School, on the North Shore of Auckland, was facing ongoing issues with their school library system. It just wasn’t keeping pace with the size of the school and the expectations and technical requirements of librarian Kris Parlane.A lack of updates, an uninspiring interface and virtually no support for the problems they were encountering on a daily basis was proving frustrating to say the least. But it was a period of repeated system crashes, resulting in some data loss, and regular library shutdowns that prompted Kris to say enough is enough. Fed up, Kris prepared a report for Greenhithe’s Principal, recommending a review of alternative library systems.

So, how do you choose?

Kris started out by identifying a range of schools, across New Zealand, similar to Greenhithe School. “I visited some of these schools and met with their library staff to see first-hand what they were using. I also emailed other library staff in New Zealand and Australia to gauge their level of satisfaction with their systems’ performance,” says Kris.

Kris narrowed the choice down to a shortlist of just two library management systems. She checked with Greenhithe’s IT consultants and reported back to Principal Peter Marshall and the Board of Trustees. Keen to progress, Kris arranged a demonstration of both systems, and Accessit was judged best across all their assessment criteria. They had their new system.

Surprisingly easy

The prospect of migrating the existing school library system and data to Accessit was a little daunting for Kris. “I expected this to be painful and time consuming, despite the reassurance I was hearing from the Accessit team and some of the other librarians using the system I talked to,” recalls Kris.

“But I really had no reason to worry. I was surprised by how smoothly everything went. There were no major problems, and the communication along the way was great. Everything happened remotely, and the Accessit team were so friendly and helpful.”

Kris also anticipated that it might be hard to get teachers and students using the new system. This wasn’t at all the case. “It was such an improvement on the old system that, once they got started, they enthusiastically and quickly learned how to use it. The students especially loved the ability to write their own book reviews and reserve books. Our teachers loved the One Search feature and how easy Accessit was to use,” says Kris.

Great benefits

For Kris and assistant librarian Bettina Buffey, the speed and ease of cataloguing was a big surprise. In fact, they found it so much fun to use. They even started cataloguing items around the school that had never been catalogued before. “There have been great improvements in our ability to track items in both the school library and the teachers’ resource room library,” says Bettina.

Kris said the system support was another pleasant surprise. “After largely being ignored by our previous system provider, we had pretty low expectations. But again, that wasn’t the case. The initial training was fantastic, and the customer portal is a wonderful support resource. We can also attend the annual Accessit roadshow. Any time I’ve had a question, the response from the support team has been fast and friendly.”

Don’t settle for less than great

For Kris and Greenhithe School, moving to Accessit was the best decision the school could have made. Having now been through the process, would she have responded much sooner to shortcomings and problems of the previous system? On reflection, yes, says Kris.

Kris says, “Going through the changeover was so much easier than I thought it would be. It’s very easy to accept a difficult situation and put up with what you’re using, assuming that all library systems are pretty much the same. I can tell you there is a vast difference, and I really only appreciated that when I had a demonstration on Accessit. I truly did not know that so many of the things she showed me were even possible.

“My advice to other librarians is don’t wait or let worry hold you back. Get a demonstration from one of the experts, or at the very least get along to the next Accessit roadshow in your area. There won’t be any scary hard sell, and you won’t regret it. I actually found it fun (in a very librarian sort of way!).

“Changing to Accessit has upgraded the library service we offer to students and staff at our school and made my job so much easier and more enjoyable.”

The demands of students and teachers are constantly changing. With a system that wasn’t keeping up, Reynella East College library manager Gayle Sutter knew that their library was on a path to nowhere. It was time to bring it back to being an essential part of the learning journey.

The future of our library is bright

A major re-development of the learning facilities at Reynella had recently taken place. But the existing library management system wasn’t keeping up with the changing demands of students and teachers. It was time to take action.

Situated in Adelaide, Reynella East College is a government school run by the State of South Australia. It caters for a wide range of learners from pre-school (under 5 years) right through to year 12 (up to 18 years) students. The school was formed in 2011 with the merger of Reynella East Primary and Reynella East High. It has recently undergone a major re-development of learning facilities – the largest ever undertaken by the Department of Education and Child Development – to provide an ideal environment for the focused educational development of its students.

Reynella East College library manager Gayle Sutter says, “It was becoming obvious that our existing library management system wasn’t keeping up with the changing demands of the library, especially when it came to retrieval of the range of materials we had in the library, including digital resources and online databases.”

The situation was made worse by the fact that the vendors of the existing system weren’t committing to any further development. It left the school with a system that just wasn’t going to meet their future needs. Gayle started to explore alternative library systems. After attending an Accessit roadshow demonstration and visiting other schools already using the system, she decided it was the ideal solution for them.

“The existing system’s interface was dated and lacked interest, while the Accessit dashboard (Web Opac) offered great features like the new book carousel, and the ability to add announcements and video,” says Gayle.

Improving student and staff access

Gayle’s challenge was to win over the leadership and management team to make the change and migrate to Accessit. She needed to prove that what the new library system offered would make a fundamental difference to resource management, teaching and learning at Reynella East College.

For her, it was important to improve student and staff access to resources through an online system. Accessit could deliver 24/7 access with a responsive and easy to use solution.

“With competing sources of information on the internet, it was essential for us to be able to promote all that the library had to offer,” says Gayle. “The federated search capability of Accessit expanded the scope of our library system beyond the physical library. The system synchs with our EDSAS Student Record System and Clickview Video Platform. The catalogue module is very quick and easy, and uses the Z39.50 server option.”

Quick and painless

Gayle says, “The prospect of undertaking a migration of the school library system was particularly daunting. My expectation was that this would be painful and time consuming.

“The surprise was how smoothly and cleanly this was implemented with everything done remotely – a very large and complex database migrated successfully with a high level of accuracy. The support team at Accessit were always available and responsive throughout the whole process. The transition went very smoothly.

Benefits across the school

Gayle says, “Moving to Accessit has had benefits across the College. Teachers are now confident about encouraging their students to change their research habits and look beyond Google, as they’ve realised the potential through Accessit to access a broad range of quality resources in all types of mediums – not just websites.

“The profile of the library in the school has definitely been raised. We now take the lead in demonstrating to students how to access the system from home and at school.

“Statistics can be readily generated for a broad range of purposes and we can use these to highlight to school Leadership the importance of our daily operations and the level of service that we’re providing. Our library budget is better supported with the help of reporting on our borrowing statistics.

“Working together with our IT department, we’ve also used Accessit to register all the school’s laptop and iPads as assets, and we’re able to issue these to students and staff on a ‘one to one’ basis under our device program. Overall, library and IT staff and functions are working with a good deal more integration, which has resulted in a more effective service provided to all our students and staff.”

A better, more visible library

“Staff and students are now much more aware of our library and what we have to offer, as the profile of the library has grown and it’s now visible and accessible on the school intranet,” says Gayle.

For Gayle, day to day library operations are now simple and much more efficient with Accessit. She is now able to deal time effectively with a very large number of students (more than 1,800) and a large teaching staff of 200.

“Our teachers are becoming more skilled and better equipped to support their students’ research through using the system. I would highly recommend Accessit to other librarians and library managers. Accessit delivers everything that it promises. The team behind it are responsive and accessible and we now have a library system that can evolve with the changing needs of our school. The future of our library is looking very bright,” says Gayle.

They had a legacy library management system with an uninspiring interface. Integration with their other IT systems was a challenge. Tyndale Christian School’s vision was a library system that delivered a seamless experience for users within a single coherent cloud-based network.

One seamless experience

Tyndale Christian School, in Adelaide, South Australia, was established over 30 years ago. The founders were Christian parents who wanted their children educated in an environment that would support their family values and faith.

Independent, co-educational and inter-denominational, the Tyndale Christian School has three campuses and 2,000 students. Initially formed as a junior school with 137 students and 10 staff members, Tyndale has grown to provide early learning, junior, middle and senior schools.

Typical of many schools that have grown over time, the school’s IT infrastructure has grown ‘organically’ in response, creating challenges from time to time. The library management system was essentially a solid mature system. However, because of legacy issues, it was running several releases behind.

Integration between the library and other school systems was a real challenge. And from a user’s perspective, the library system had a dated user interface that did little to encourage student engagement. It was a pretty underwhelming experience.

The school also faced increasing challenges with support. They needed a system that the school was better able to manage. As Tyndale’s Learning Innovation Facilitator John Haynes put it, “to control our own destiny”.

A big vision

The team at Tyndale had a big vision – the transformation of the school’s IT infrastructure into a single coherent enterprise-wide network. They wanted to deliver a seamless experience for all types of users, from teachers and students, to system administrators and others. The team began by developing an IT Strategic Plan and creating a roadmap of school library system reviews and improvements.

John’s view is that technology is a tool that shouldn’t get in the way of the learning or the task a user is wanting to do. “The philosophy of a user interface has changed significantly over recent years. While integration and function are vital, an intuitive, clean and concise user interface is equally important,” says John.

As a Microsoft shop, he also wanted single sign-on (SSO) access to cloud applications using Microsoft’s Azure Active Directory – a critical aspect to enabling a standardised cloud-hosted service.

Hard questions and straight-up answers

Armed with a clear vision, Tyndale started the process of finding a new library management system that would meet the school’s current and future needs. Having made a shortlist of three library systems, a tight review team of key users was set up – Director of eLearning Josh Martin, Resource Centre Manager Tara Burton and John.

The team defined their wish list of requirements and invited vendors to the school for product demonstrations. They also talked to other schools in the area already using one of the shortlisted systems and visited these schools to see first-hand the library system in operation.

“This gave us the chance to talk directly with people who knew and had lived with the system. We got to ask a lot of the hard questions and get straight-up answers,” says John.

The team was now armed with a greater understanding and invaluable input from Resource Centre Manager Tara Burton’s many discussions within her professional network of school librarians and resource managers. They began evaluating their shortlist against their wish list.

One clear choice

Accessit Library came out as the clear choice. Throughout the discovery process, the Accessit solution almost sold itself. No significant IT change is without risk. However, the Tyndale team felt confident that the Accessit team had a good process for managing and mitigating any migration and installation risks. “Tyndale was the first school that Accessit had set up using Microsoft’s Azure SSO authentication. Enabling the solution took some significant system development by Accessit, but it proved to be no problem.”

For Tyndale, Accessit has more than lived up to expectations, and the system has delivered on what it promised in every way. John feels that it has been a very positive experience. “The on-boarding process was well managed, and the development team was knowledgeable, professional and positive to work with. We have received great support from everyone at Accessit,” he says.
