What do you do with a precious gift of more than 1,200 digital copies of the official military records of 201 fallen WW1 school old boys? You create a rich resource – a living repository that gives your students a very personal view of history. Accessit proved the ideal system to make it possible.

We will remember them

Each year, Otago Boys’ High School remembers its own – the school’s old boys who fell in both World Wars. Librarian Lynn Vare saw an opportunity to go one step further, but they needed a system to do it.

In the lead-up to Anzac Day, the students reflect on the stories of these brave soldiers and this time in history through social studies and history assignments. A visit by the Department of Internal Affairs (DIA), as part of the national WW100NZ Centenary Project, gave school librarian Lynn Vare the idea to approach things in a new way.

DIA had collected information and made digital records of items in the school’s museum related to the old boys who had fallen in World War One (WW1). These had been loaded into the web archive Historypin. But they had also made digital copies of the official military records of the 201 fallen WW1 old boys. They gifted this huge electronic file of records to the school.

Lynn was immediately faced with two problems. How to store this information securely so it didn’t inadvertently get lost, deleted or corrupted? And how to make this unique and precious resource easily available and accessible to the school community? The school needed a system flexible enough to add more content and information over time. And above all, the one thing Lynn wanted to avoid was setting up another archival database system.

The ideal solution was right there

Otago Boys’ High School had moved to Accessit two years earlier. The ease of using the system and the wide range of resources it could manage made it the ideal solution for this new project.

The 1,282 JPEG files created by DIA were loaded into Accessit, and a bibliographic record was created for each old boy. All the documents – text, images and video files – related to each old boy were added to this main record. At the entrance to the school, the fallen old boys are named on the Memorial Archway. And now with one click, students can see and access all of the precious resources that help bring to life each one of the old boys.

Collaboration, creativity and Accessit

“What we’ve created is a rich resource that really supports the principle of modern learning. It makes information not available from the likes of Wikipedia and Google available to our students and gives them a very personal and human view of historical events,” says Lynn.

“And it’s a living, breathing project. With the senior history students’ help, we’ve been adding scans of obituaries, photos and other information about these old boys that we’ve discovered along the way and found in school magazines.”

Otago Boys’ High School is now working with the Heritage Collections at Dunedin Public Library. Together they are looking into how this historical information can be shared with the wider Otago community and the families of these old boys. This includes identifying and sourcing further information and adding to the records. The project is also making an international contribution as the resources created have been uploaded to the Otago Boys’ High School archive in Historypin.

“Research, collaboration, creativity and Accessit together have ensured that we will remember them,” says Lynn.

    Building a library from scratch at a British International School nestled in the Swiss Alps is no small feat. As the sole qualified librarian charged with the task, Stephen Bull knew he had his work cut out for him, so he turned to a library system he could trust.

    The experience of setting up with Accessit was almost seamless. I had no data conversion of existing collections, so that was a bonus, but I did find a lot of uncatalogued material purchased before my arrival that needed retrospective cataloguing.     Finding the perfect system

    When Cabra Dominican College in Adelaide reviewed their outdated library management system in 2013, Head Librarian, Stephen Bull, evaluated all the systems on the market. “We looked at Oliver and several other systems before settling on Accessit. I have used quite a few other library management systems over the years in all sorts of libraries, but I find Accessit to be the most stable, functional, affordable system with great customer service and brilliant technical help.”

    So when Stephen made the move to the Swiss alpine town, Crans-Montana, in 2016, Accessit Library was the obvious choice. “I never regretted the choice to move to Accessit and thought only of Accessit for the brand new library I have set up here in Switzerland,” says Stephen.

    Building a library from scratch

    To put it lightly, building a library from scratch is “a shedload of work, lots of it manual,” says Stephen. “On the plus side, I’ve had carte blanche on the selection of nearly all the resources, in liaison with teachers, and students, of course. I have been able to start systems from zero, such as Textbook and Periodical acquisition, to develop an integrated resource management system for the whole school.”

    Two libraries, one library system

    Stephen built two libraries, a Junior School Library (Years 3-8) and a Senior School Library (Years 9-13). Both libraries are bright and spacious and provide an atmosphere conducive to reading for pleasure and academic excellence. With Accessit on board, “the student can connect electronic devices to the WiFi network, giving them access to the latest e-resources. With an up-to-date stock of journals and magazines all housed under one system, it fosters a culture in which students are encouraged to read widely, research and study.” says Stephen.

    The modern reader

    One of the major challenges Stephen has found is engaging his students in critical thinking and analysis. “The ubiquity of 1-to-1 mobile devices in schools and the over-reliance on technology can seems to have a detrimental effect on student (and staff) motivation and ability to read and think deeply. There is a much greater surface skimming of ‘content’, where before students were better at selecting and understanding the context of the information.”

    Stephen feels that Accessit Library helps to provide users with “quick access to quality information. Building a hybrid print/digital collection and providing access with a great LMS is my main job, and Accessit makes it that much easier,” says Stephen. “The One Search function allows our users to search not only our own collection through the catalogue, but to search multiple free and subscriber websites and databases simultaneously. This facility enables students and staff to search broadly and deeply, across academic and popular electronic sources, all within the Accessit Library environment”.

    Support behind the software

    “The helpdesk support, even from Switzerland is outstanding. They are always quick to respond, friendly and I don’t think I have ever had a problem that wasn’t solved eventually,” says Stephen. “I would (and do) recommend Accessit to any librarians I meet who aren’t already using it. In fact, if I ever want a new challenge, I think working for Accessit could be quite rewarding. Any plans on opening an Alpine Swiss Office?”

      Auckland school overhauls library software

      Wesley Intermediate School is a small school, with around 165 Year 7 and 8 students and less than 20 staff members. The unique school is tucked comfortably into the Wesley community. Teacher librarian, Patria Davis, emphasised its strong sense of “belonging, family, safety, love, positivity and hope”. She explained how students draw from their diverse range of ethnic and cultural backgrounds to encourage a culture of warmth throughout the school.

      “Our students are the reason we all show up to work every day; you cannot get far through the school corridors each morning without encountering smiles, laughs and happy greetings. It is a great place to work.” While being a small school helps create this lovely environment, it also means the library runs on a small budget and staff wear lots of different hats.

      Patria shared: “My roles include librarian, teacher in charge (TIC) of learning hub (academic support and extension programs for students), TIC of ESOL program, TIC of resource room, and TIC of the William Pike Challenge Award (WPCA).

      “A typical day for me involves juggling time completing administration work, teaching small groups, working alongside teachers in classrooms, planning and leading activities outside the school grounds for the WPCA and ESOL programs, answering questions, answering emails – and, of course, all the jobs involved in running the school library.

      “Almost all of the ‘new’ books are donations or second-hand purchases. In my first year, I redesigned the library space for less than $100 and using Kiwi ingenuity, we opened up the space to create an inviting, relaxing, and open environment. It is now my favourite part of the school to work in.”

      Needing a change

      The library management system Patria inherited needed updating, so she arranged to meet with the Accessit Library team.

      “The scope of the software caught my attention (actually I was completely hooked and my passion for the software hasn’t waned yet) and a meeting with our school’s senior leadership team and teachers confirmed support for the new system was unanimous.

      “Key features that impressed us were the easy, visual access to search functions, its book review feature, and the One Search feature that enables scaffolding of student’s independent online research.

      “We use Accessit Library to catalogue all the student and teacher resources in the school. In the future it is likely to become our system for digital technologies as well. In the old system we had two libraries: school library and resource room, so we rolled over the data from the school library, then proceeded to catalogue the resource room from scratch in order to update, correct and improve the ability to search quickly for resources.

      “As I became familiar with the software and problem-solved with the Accessit team we opened up some new terrain. One of the significant features I stumbled across was using educational terms as ‘tags’ to help teachers quickly locate useful resources. The ‘tags’ function was also useful for assigning curriculum levels to enable teachers to narrow their searches.”

      Support throughout the process

      “We installed Accessit Library as a local install on the school server, migrating data from one of our two libraries, we started training, and student administration integration. The installation process was huge, and really well-managed by the Accessit Library team. We made it easy for ourselves by closing the school library for a couple of weeks, but it is possible to install while keeping the library open.

      “The greatest service for me has been the Help Desk at Accessit, the team are amazing with speedy phone and email responses. Up to that point it had very much been ‘sink or learn to swim’ for me in the various roles I had taken on. I was accustomed, partly due to personality and partly due to necessity, to problem solving on my own, so it was a new experience to have a team of people telling me to call them for help before I spent hours trying to solve the problem myself!”

      Patria emphasised the level of potential for what can be done with the software. “Primarily, we are using the sophisticated search function to improve access to teacher resources and library books. Teachers are now able to use the Web App to search for resources, which has also been great in simplifying the process for student librarians – they no longer access the Management App, as all the features they require are accessible via the Web App.”

      For Patria, the Management App is “easy to use and has a host of easily accessible features, so that I can make small or larger changes quickly. In the limited time I have to spend in the library, this is a tremendous asset. Other benefits for us for long-term implementation include the book review feature and the One Search feature. These were two of the major draw cards for the teaching staff but are not fully functioning across the school community just yet. These are part of our plan to develop the library. I am excited about the potential scope of these features and look forward to seeing them used across the school.”

        As a small independent school in rural Virginia, librarians SJ Drummond and Laney Kortas were looking for a dependable, affordable system for Fuqua School that was powerful enough to be a gateway for their students in several ways.

        With two libraries across two separate campuses catering to students K through 12, librarians SJ Drummond and Laney Kortas wanted a library system that would be a portal for their students – reaching a world beyond the four walls of the library and their town of Farmville, Virginia.

        “Two years ago we switched from a massive system that was not user-friendly (and did not have an attractive interface) to an internal system that was included within our new campus management platform. Nine months into it, they announced that they were dropping the library option. After trying to reconnect to our previous system, we found that all of our data had been deleted (despite accessing it the week before) and that we would have to start from the beginning. Cost and unwillingness to work with us (after over 25 years of previous subscription) motivated our school to look elsewhere,” says SJ.

        A big change

        Dissatisfied and weary, SJ and Laney started the search for a new system.

        “Initially I polled other librarians online, then researched their top three. Accessit looked amazing and, when I followed up, your rep Bonnie was brilliant and very helpful – demo-ing, explaining, and willing to really work with us on our budget. Additionally, her can-do attitude was such a refreshing change,” says SJ.

        Knowing it would be a time consuming process to re-enter all the inventory manually after the disastrous previous transition, SJ and Laney worried about a repeat experience and loss of inventory, but “the actual process of cataloguing the books to add to the system went flawlessly. Once we did one or two we had the hang of it and it was smooth sailing” says Laney “and because we also worked with SCIS, barcode scanning to add titles was a dream,” added SJ.

        For SJ and Laney, the training topped off the experience. “The training sessions, the tutorials, and the almost 24 hour support has been incredible. Plenty of time was taken to explain the system, and excessive patience given as we learned and questioned,” says SJ.

        Engaging Web App

        Having patrons engage with their library system was something brand new for Fuqua School. “Our Accessit home page can really showcase the best of what we have now – and the options to add news, reviews, and other pertinent info is just a really cool thing,” says SJ. She can see that over time the students will use the library catalogue to its full potential, “I am encouraged that the younger students are being trained to utilize Accessit more completely and efficiently and are therefore learning better habits,” says SJ.

        A better way to search

        After years of uninspiring library systems, and the endless deluge of new information via the internet, SJ and Laney noticed that the students had become very quick to resort to Google or social media for up-to-date information. As SJ notes, “While this is not necessarily a bad thing, it can lead to mis-information and fake news. The challenge our staff has is to channel them towards true research – impartial, relatable and current.”

        Accessit’s One Search tool opens patrons up to curated scholarly material and reliable up-to-date information, doing away with the temptation to draw facts from Google and social media. “One Search inspires my students (and faculty) to browse more (both virtually AND physically),” says SJ. “Our school has just signed up for a subscription to World Book Online (which in itself is brilliant across the K-12 board). To be able to seamlessly tap into that resource using Accessit’s One Search is going to be AMAZING this next school year!”

        A surprising bonus was Accessit’s international reach, “The international appeal is also very important to me. I can share with the kids that through our new library system, we are working with others around the globe – that you are based in New Zealand and that Mrs. Kortas and I were trained by someone in London, England. In our tiny corner of the world, to show that there are no boundaries here is very exciting.”

          When Alex Wallace, Manager of Digital Fluency, was looking to update the library system at Kamo High School, he wanted two things: a modern, cloud-based system that would take care of itself; and a system that would keep in tune with the digital fluency values of the school.

          A modern, cloud-based solution

          Alex Wallace, Manager of Digital Fluency for Kamo High School describes their school library as a “multimedia hub housing a variety of formats to access, use and gain information. The purpose of the library is for open access to the community of users it serves and to work alongside students to develop a love of reading and life-long learning.”

          When researching new library management systems, Alex looked for a modern, reliable system wouldn’t be a drain on IT time, “We wanted to move to a cloud-based system to replace our old unsupported software that required local network backups and so on,” says Alex.

          Digitally fluent learners

          As well as a cloud-based solution, Alex looked for a system that could keep up with a modern learning environment. The teachers at Kamo High School encourage their students to become digitally fluent learners. According to Alex, a digitally fluent student, “knows where and how to find information quickly, and can critique the relevancy and accuracy of information being accessed.”

          Alex explains, “Today, students are computer literate but do not know how to research effectively to gain the specific, reliable, credible information they require for school subjects. A large majority have no idea about keyword searching away from Google and Wikipedia. Students want what is readily available to them, and the up-to-the-minute trends; otherwise, they do not seem interested.”

          Alex notes that with more and more distractions, attention spans are reducing and the media/software/technologies that interest students are those that are immediately engaging and entertaining. “Keeping up with this is an ongoing issue and process to keep them interested and learning,” says Alex.

          Accessit Library directly supports these digital goals, providing students with an engaging, interactive Web App that houses all Kamo High School’s resources, whether digital or physical. Students can access credible, curated content related to any topic through Accessit’s One Search, and can generate citations at the drop of a hat, making referencing so much easier.

          Responsive support

          From an IT perspective, a smooth system transition, stability of software and superb support were all major drawcards. “The tech support from Accessit and our local IT provider made the transition seamless and problem free. They worked very together well,” says Alex.

          “Accessit is amazingly easy to use. The boxes with different menus in the Management App enhance the accessibility of the functions. I enjoy using the system and we have reduced the Kamo High School helpdesk technical time for system maintenance, updates and backups. The fast response when using phone contact to resolve any issues or queries has been a big plus. The screen-sharing approach has saved the librarian many hours when trying to search and read manuals for small queries,” says Alex.

          “We have found Accessit to be a reliable and robust cloud-based software system that’s user-friendly and well supported from a technical perspective. We highly recommend Accessit to other school libraries. We love Accessit and think the support is fabulous.”

          In addition to praising the Accessit Library Customer Support team, Jenny is also a self-proclaimed ‘big advocate of Accessit Library’, hoping to have all schools within their trust using Accessit Library.

          There are two schools who have just come into our academy trust, and one has already been persuaded to change their existing Library Management System. I’m also hoping to visit one of the other schools in the next couple of months too.

          I think being on the same library management system will be really helpful in terms of consistency between students who come in from feeder schools and are already familiar with how to search the WebApp. The Librarian in one of our feeder schools is also really excited about using the WebApp to promote resources, reading schemes and other literacy based activities.
